Job Summary:

We are seeking a highly skilled and experienced Document Control Coordinator to join our team as a Senior Coordinator. The ideal candidate will be proficient in Excel, PowerPoint, and Procore, with exceptional organizational abilities and a keen eye for detail. This role involves managing and organizing various documents, ensuring compliance with company standards and industry regulations. The Senior Document Control Coordinator will be responsible for overseeing the document control process, handling tender documentation, insurance, safety papers, and ensuring proper signatures on important documents. The successful candidate will play a crucial role in maintaining efficient document workflows and supporting project teams. This person MUST BE AN EXPERT IN PROCORE AND EXCEL

Responsibilities:

1. Manage and organize documents using Excel, PowerPoint, and Procore to ensure accuracy, accessibility, and compliance.

2. Act as a software master, proficiently navigating and utilizing various software tools for document control purposes.

3. Oversee the document control process, including distribution, tracking, and archiving of documents.

4. Coordinate tender documentation, ensuring completeness and accuracy.

5. Obtain necessary insurance and safety papers for projects, adhering to regulatory requirements.

6. Facilitate the signing process for critical documents, ensuring timely and proper signatures are obtained.

7. Maintain a high level of organization for both electronic and physical documents, serving as a paper organizer.

8. Collaborate with project teams to ensure all documentation is up-to-date and accessible as needed.

9. Provide support and guidance to team members regarding document control procedures and best practices.

10. Communicate effectively with internal stakeholders and external parties to facilitate document-related tasks.

11. Monitor document control metrics and performance indicators, identifying areas for improvement and implementing solutions.

12. Uphold company standards and policies related to document control and information management.

13. Take ownership of tasks and projects, demonstrating a proactive and solution-oriented approach.

14. Ensure all documents are properly labeled, categorized, and stored for easy retrieval.

Qualifications:

1. Bachelor’s degree or equivalent experience.

2. 4-6 years of experience in document control or related field; additional experience is a plus.

3. Proficiency in Excel, PowerPoint, and Procore is essential; familiarity with other document management software is advantageous.

4. Excellent English language skills, both written and verbal, with meticulous attention to detail.

5. Strong organizational skills with the ability to prioritize tasks effectively.

6. Demonstrated ability to work independently and collaboratively in a fast-paced environment.

7. Experience with tender documentation, insurance, and safety papers is preferred.

8. Ability to handle sensitive information with confidentiality and discretion.

9. Strong interpersonal and communication skills, with the ability to interact with individuals at all levels of the organization.

10. Proven track record of meeting deadlines and delivering high-quality work.

11. Ability to adapt to changing priorities and navigate ambiguity effectively.

12. Previous experience in a senior or lead document control role is desirable.
