Role Overview: We are seeking a proactive and highly organized Administrative Assistant to support two Sales Executives. The ideal candidate will be a self-starter, proficient in tracking, data entry, communication, and Excel VLOOKUP and XLOOKUP functions. This role offers an exciting opportunity to be an integral part of our sales team and contribute to the overall success of the organization.

Key Responsibilities:

– Provide comprehensive administrative support to two Sales Executives, including managing calendars, scheduling appointments, and coordinating travel arrangements.

– Assist in the preparation of reports, presentations, and other documents, ensuring accuracy and professionalism.

– Conduct data entry and maintain accurate records of sales activities, client information, and other relevant data.

– Utilize Excel VLOOKUP and XLOOKUP functions to analyze and manipulate data effectively.

– Act as a liaison between the Sales Executives and internal departments, ensuring smooth communication and coordination.

– Manage incoming calls and emails, prioritizing and responding to inquiries in a timely manner.

– Assist in organizing and coordinating meetings, conferences, and events, including preparing agendas and taking minutes.

– Proactively identify opportunities to improve administrative processes and implement efficient solutions.

– Handle confidential information with discretion and maintain a high level of professionalism at all times.

Qualifications:

– Bachelor’s degree in Business Administration, Marketing, or related field preferred.

– Proven experience as an Administrative Assistant or similar role, supporting senior executives in a fast-paced environment.

– Excellent organizational skills and attention to detail, with the ability to prioritize tasks effectively.

– Strong proficiency in Microsoft Office Suite, particularly Excel, with advanced knowledge of VLOOKUP and XLOOKUP functions.

– Outstanding communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.

– Ability to work independently and collaborate effectively within a team.

– Proactive attitude and willingness to take initiative to support the needs of the sales team.

– Discretion and professionalism when handling confidential information.

-Bilingual in Spanish and English is a great asset.
