Your tasks as the Vault Coordinator
- Prepare and review Estate and Trust documents for safekeeping in vault system
- Respond to internal and external client vault requests in a timely manner
- Scan, file and e-file a large volume of documentation
- Assist lawyers/clerks with client requests to permanently remove documents from vault and database system
- Management and closing of boxes of estate planning documents to send off-site
- Update information in our specialized Wills and Trust databases and data management program
- Proofread Will and Trust documents received from the estate and tax group in preparation for off-site vault storage
- Attention to detail and spelling of requests for deposit forms and affidavits of execution completed and commissioned correctly
- Produce the highest quality of work
- Accountable for all work assigned
The required qualifications of the Office Administrator
- Minimum of three years’ previous experience as a Legal Assistant in Estates or Tax
- Successful completion of a related post-secondary Legal Assistant or Law Clerk program
- Handle time pressure situations and stress of multiple demands
- Flexible to the changing demands of the job
- ·Excellent communication skills both written and verbal
