Service Dispatcher
We’re looking for a detail-oriented and highly organized service dispatcher to play a key role in ensuring smooth operations within our maintenance department. This position is primarily administrative, focusing on creating and managing work orders, coordinating service schedules, and ensuring deadlines and warranties are consistently tracked and met. Key Responsibilities:
• Perform daily scheduling of service technicians
• Ensure timely and accurate paperwork documentation
• Working closely with management to coordinate dispatching for the technicians
• Determine which technician is best suited for certain jobsites/projects or maintenance
• Review work activities that occurred after-hours
• Respond quickly to customers and service technicians
• Maintain key relationships between customers and service technicians
• Review and manage work orders
• Open and assign work orders and process purchase orders
• Review work orders submitted by technicians ensuring that they contain all the required information
• Follow-up on open work orders ensuring the work is completed and the order is closed and invoiced
• Assist in the creation, entering and tracking of service contracts
• Coordinate customer quotes/recommendation process and provide support in parts sourcing with vendors
• Support in tracking & converting of quotes/recommendations and ordering of all related parts and equipment
• Supports administration and resolution of warranty claims
• Maintain monthly and quarterly preventive maintenance schedule
• Maintain & update software Jonas (EMOBILE) to maintain work orders, customer database, and inventory list
• Ensure all work orders that are completed are ready for invoicing
• Other service duties as assigned
Desired Education, Experience and Skills:
• Post-Secondary Education
• Minimum two years in the Mechanical Contracting & Service industry. Experience with service operations and/or scheduling
• Exposure in the HVAC & Plumbing Industry is considered an asset
• Background in responding to client inquires in a similar setting
• Demonstrate organizational, interpersonal, and time management skills
• Proficient in JONAS (preferred)
• Proficient in Microsoft Excel & Office
• Bluebeam
• Excellent verbal and written communication skills
• Able to positively represent services and communicate with others at varying levels
• Able to prioritize work activities based upon financial impact to desired business goals
• Excellent customer service and organizational skills
