Job Title: Executive Assistant to the CEO

Location: Irvine, CA (Hybrid Work Environment)

As we continue to expand, we are seeking a highly organized and professional Executive Assistant to support our CEO in managing day-to-day operations.

Position Overview:

The Executive Assistant to the CEO will play a crucial role in ensuring the seamless operation of the executive office. The successful candidate will be a detail-oriented, proactive professional with exceptional organizational and communication skills. In this hybrid work environment, you will be responsible for providing high-level administrative support to the CEO, with a particular focus on travel and calendar management.


Calendar Management:

oCoordinate and manage the CEO’s complex schedule, including meetings, appointments, and events.

oProactively identify and resolve scheduling conflicts, ensuring optimal use of the CEO’s time.

Travel Coordination:

oArrange domestic and international travel logistics, including flights, accommodations, ground transportation, and visas.

oAnticipate and address potential travel disruptions, ensuring the CEO’s travel experience is seamless.

Communication and Correspondence:

oAct as a gatekeeper, managing and prioritizing incoming emails and phone calls for the CEO.

oDraft, edit, and proofread executive-level communications, presentations, and reports.

Meeting Preparation:

oPrepare agendas, materials, and briefing documents for executive meetings.

oCollaborate with relevant stakeholders to ensure the CEO is well-prepared for all engagements.

Expense Management:

-Process and track expense reports, ensuring accuracy and adherence to company policies.

Special Projects:

The CEO in ad-hoc projects, research, and presentations as needed.


·Bachelor’s degree preferred.

·Proven experience as an executive assistant or similar role supporting C-level executives.

·Strong proficiency in Microsoft Office Suite and calendar management tools.


·Excellent organizational and multitasking abilities.

·Exceptional verbal and written communication skills.
