About the Role:
We are seeking a highly organized and proactive Executive Assistant to support 2 C-level executives of a leading manufacturing company in Canada. This is a full-time, permanent position where you will play a critical role in the daily operations of the executive team. The ideal candidate will be accustomed to working in a fast-paced, dynamic environment and will have prior experience in the manufacturing industry.
Key Responsibilities:
- Executive Support: Provide high-level administrative support to 2 C-level executives, managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication Management: Act as the main point of contact for both executives, handling phone calls, emails, and other correspondence with professionalism.
- Document Preparation: Prepare, edit, and proofread reports, presentations, and other documents for internal and external stakeholders.
- Meeting Coordination: Organize meetings, prepare agendas, and take minutes. Ensure follow-up on action items and deliverables.
- Project Management: Assist in managing special projects and deadlines across various departments, ensuring seamless execution.
- Office Management: Oversee office operations, including ordering supplies and coordinating with other departments to ensure smooth functioning.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
Qualifications:
- Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role.
- Proven experience working in the manufacturing industry is a must.
- Exceptional organizational skills with the ability to manage multiple tasks and priorities effectively.
- Strong communication skills, both written and verbal, with an ability to interact with senior executives and key stakeholders.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with a strong aptitude for learning new software tools.
- Ability to work independently and as part of a team, displaying initiative and strong attention to detail.
- Discretion and integrity in handling confidential information.
- Must be available to work on-site Monday to Friday in Brampton, Ontario.
