Position Summary
The Accounting Clerk plays a vital role in supporting the daily operations of the accounting department. Reporting to the President and Controller, this position is responsible for accurate and timely data entry, invoice processing, customer account maintenance, and supporting internal reporting requirements. This role demands a high level of attention to detail, organization, and strong communication skills.
Key Responsibilities
1. Invoicing & Documentation
- Process daily invoices and generate invoice reports across five branches
- Review invoice reports for gross margin discrepancies and verify inventory movement with branch managers
- Issue and distribute customer invoices via print or email
- Prepare, proofread, and enter credit and debit notes
- Generate and distribute monthly account statements
- Collect and process credit notes in accordance with company policy
2. Customer & System Maintenance
- Create and update customer accounts (including address changes and email billing setup)
- Maintain and link product information as needed in the system
- Investigate and resolve discrepancies with branches and customers
- Ensure accurate posting of transactions to the appropriate General Ledger accounts
3. Reporting
- Generate weekly sales-related reports, such as backorders and future orders
- Support year-end write-off reports by reviewing and updating write-off flags
- Produce regular Crystal Reports (e.g., Inventory Reorder, Back Orders, etc.)
4. Administrative & Other Duties
- Assist with Accounts Receivable tasks, including remittance coding
- Distribute incoming mail, inter-branch documents, and prepare outgoing mail (including FedEx shipments)
- Maintain accurate records and documentation, ensuring proper filing and organization
Required Skills & Qualifications
- Strong data entry and organizational skills
- High attention to detail and accuracy
- Ability to manage priorities and meet deadlines
- Excellent verbal and written communication skills
- Proficient in Microsoft Office, particularly Excel and Outlook
- Team-oriented, with a professional and friendly demeanor
- Willingness to learn and assist with new tasks as required
Compensation:
- Competitive salary
- Shift: Monday – Friday 8:30am – 5:00pm
- 2 weeks vacation
- Benefits – after 3 months
