Schedule: Monday to Friday, 8:00 AM – 4:00 PM – Flexible
Responsibilities:
- Manage phone calls and email correspondence (primarily emails)
- General office administration work
- Purchasing and procurement tasks
- Handle invoicing, order preparation, and purchase order (PO) creation
- Processing and managing client orders
- Coordinate shipping and receiving logistics
- Conduct follow-ups with clients and suppliers
- Scheduling order pick-ups and coordinating logistics
- Collaborating with the parts and shipping department
- Process supplier payments and follow up on receivables
- Prepare service and installation invoices for administration
- Perform data entry, filing, and general document management
- Arranging flights and accommodations for remote field staff
- Support various administrative tasks as needed
Requirements:
- Fully bilingual (spoken and written) – English and French
- Strong communication and interpersonal skills
- Excellent problem-solving abilities
- Capable of multitasking in a fast-paced environment
- Highly organized with effective time management skills
- Sound judgment and decision-making capabilities
