Office Services Clerk
6-Month Contract with Possibility of Renewal

We are seeking an Office Services Clerk to join a dynamic team. This role is responsible for overseeing the mailroom operations, managing outbound mail, handling transportation of paperwork, and ensuring the completion of customs paperwork for international shipments.
Key Responsibilities:
- Provide backup for the Receptionist, Mailroom Receiver (Inbound), and Duplicating Operator as needed, including during breaks, lunches, and vacations.
- Follow and update Standard Operating Procedures (SOPs) for all assigned tasks.
- Assist with Office Services tasks such as managing the assembly table, ordering supplies, and working with vendors.
- Greet visitors, manage the Visitors Sign-In System, issue visitor badges, and arrange transportation.
- Process outbound mail and couriers (e.g., Federal Express, Purolator), ensuring correct documentation and troubleshooting issues with paperwork, customs, and vendors.
- Handle courier vendor invoices and resolve discrepancies with vendors.
- Maintain mailroom operations, including mailslots, carts, and equipment, and implement system updates as needed.
- Manage mail for field employees, ensuring accurate and timely delivery, including same-day couriers.
- Process and forward invoices and customer statements as per SOP.
- Provide backup support for Mailroom, Receiving, and Duplicating tasks as needed.
- Assist the Corporate Services team with various projects and tasks.
Qualifications & Skills:
- Minimum of 2 years’ experience in a similar role
- Knowledge of computer systems, with preference for Google Suite
- Ability to manage multiple tasks and support team requests effectively
- French or other language skills are a plus but not required
- Strong communication skills
- Ability to multitask and adjust to a varied workload
- Self-directed with the ability to work independently
- Collaborative team player with a proactive approach
- Strong computer skills (Google programs, FedEx Software, Cisco Jabber)
- Experience with Reception, Switchboard, and Phone Systems
- Attention to detail and accuracy in work
- Independent thinker with strong problem-solving abilities
- Comfortable working in a loading dock environment with a focus on safety and security
