Job Summary: The Project Coordinator will play a pivotal role in assisting the Vice President in the planning, execution, and completion of various projects within the organization. This position requires strong organizational skills, exceptional communication abilities, and a proactive mindset to ensure that projects are completed on time and within scope.
Key Responsibilities:
- Project Planning: Collaborate with the VP to define project objectives, scope, and deliverables. Assist in developing project plans and timelines.
- Communication: Serve as a liaison between the VP and project teams. Ensure clear and effective communication across all project stakeholders.
- Documentation: Maintain comprehensive project documentation, including project plans, progress reports, and meeting minutes.
- Scheduling: Manage calendars, appointments, and meetings for the VP, ensuring that project-related commitments are met.
- Resource Allocation: Assist in identifying and allocating resources necessary for project execution, including personnel, budget, and materials.
- Risk Management: Monitor project risks and issues. Collaborate with the VP to develop and implement mitigation strategies.
- Progress Tracking: Regularly track project progress against established timelines and milestones. Provide updates to the VP and senior management.
- Quality Assurance: Ensure that project deliverables meet quality standards and align with the organization’s goals.
- Meeting Coordination: Organize and facilitate project meetings, including preparing agendas, distributing materials, and documenting action items.
- Reporting: Prepare and present project status reports to senior management and stakeholders.
Qualifications:
- Bachelor’s degree in a relevant field (e.g., Business Administration, Project Management).
- Proven experience in project coordination or a related role.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in project management software and tools.
