Role Overview
As a Project Coordinator, you will play a critical support role in both office and field settings. Collaborating closely with Project Managers and Site Superintendents, you’ll ensure efficient site operations, accurate documentation, and seamless coordination across all project phases.
Key Responsibilities
  • Project Administration & Documentation
    • Create, manage, and update project records: meeting minutes, RFIs, change orders, submittals, transmittals, and site instructions.
    • Track and maintain logs for shop drawings and submittals; organize close-out documentation and assist with issuance of substantial completion certificates.
    • Assist in preparing purchase orders, subcontract documentation, and progress-based invoices.
  • Field Coordination
    • Attend and support site meetings, site tours, and client interactions, document outcomes and follow-up actions.
    • Assist site superintendent in monitoring daily site operations: workforce deployment, material delivery, and subcontractor coordination.
    • Help enforce site safety protocols, maintain safety records, and support on-site quality compliance.
  • Schedule & Communication Management
    • Support the development and updating of project schedules and milestone tracking (Budget oversight, progress monitoring).
    • Serve as a liaison between field staff, suppliers, clients, and office teams to ensure clear and timely communication.
  • General Assistance
    • Assist with bid preparation, tender packages, estimations, and proposal submissions.
    • Provide general administrative support: scheduling meetings, drafting correspondence, maintaining filing systems, and supporting the Project Manager as needed.
Qualifications
  • Post-secondary diploma or degree in Civil Engineering, Construction Management, or related field (e.g., C.E.T., Bachelor of Engineering).
  • 1–3 years’ experience in construction, preferably within heavy civil infrastructure sectors.
  • Ability to read and interpret structural and civil engineering drawings with accuracy and attention to detail.
  • Proficiency in Microsoft Word, Excel, Outlook, and basic knowledge of MS Project (or similar scheduling software).
  • Strong organizational skills, attention to detail, and ability to prioritize tasks and multitask effectively.
  • Excellent verbal and written communication, with strong interpersonal skills.
  • Valid Ontario driver’s license and reliable transportation preferred.
