We are currently seeking a Project Coordinator to join their team in Toronto.
Reporting to the Manager of Client Services and working closely with Project Managers, the Project Coordinator plays a key role in ensuring successful execution of production projects from start to finish. This role involves analyzing project requirements, preparing technical documentation, issuing production dockets, ordering materials, and coordinating with internal and external stakeholders.

Key Responsibilities
- Review technical specifications and project requirements with Project Managers and participate in pre-production meetings to ensure timelines, deliverables, and production needs are clearly defined.
- Prepare and enter production documentation including dockets, spec sheets, and work orders for fulfillment, converting, and inventory teams, ensuring instructions are complete, accurate, and easy to understand.
- Analyze customer forecasts and plan ahead for production, balancing material requirements, inventory levels, and efficient production scheduling.
- Order and coordinate raw materials and client feeder stock using a just-in-time approach to meet production deadlines and delivery commitments.
- Follow established pre-production processes and, when required, adapt to client-specific procedures.
- Take full ownership of assigned projects, proactively troubleshooting challenges and making informed decisions to maintain timelines—escalating issues when necessary.
- Communicate professionally with internal departments, suppliers, and client contacts, ensuring strong customer service and timely information exchange.
- Continuously identify opportunities for improvements in workflow, planning, or communication.
- Adhere to company quality standards and policies.
- Perform additional tasks as required.
Qualifications
- College or university education is an asset.
- Minimum 2 years of relevant experience in project coordination, production planning, or a similar environment.
- Self-motivated with a strong work ethic, curiosity, and a solutions-oriented mindset.
- Demonstrates integrity, professionalism, and ethical conduct.
- Able to multitask, prioritize effectively, and work within tight deadlines.
- Strong communication skills—able to interpret detailed information and convey instructions clearly to internal and external teams.
- High comfort level working with data, numbers, and computer systems, including strong skills in Microsoft Excel and Word.
- Adaptable to process and system changes, with strong organizational and analytical abilities.
