We are looking for a responsible, dedicated, and professional Payroll & Benefits Administrator for one of our clients in Mississauga, Ontario. In this role, you will be responsible for managing employee benefits programs, ensuring compliance with regulations, and providing support to employees regarding their benefits inquiries. The ideal candidate will be detail-oriented have experience with HRIS systems and a strong understanding of benefits administration processes, being able to work collaboratively to support employees in multiple branches across Canada. RESPONSIBILITIES
1. Payroll & Benefits Administration:
- Submitting semimonthly payroll data to ADP for payroll processing
- Preparing bimonthly payroll journal entries and reports for review by the President
- Enrolling employees into the Health Benefits plan and completing associated benefits tasks
- Enrolling employees into the company Pension plan
- Verify, enter and process special payments such as overtime, bonuses and commissions
- Calculating, reporting and payment requests of Union Dues
- Delivery of paystubs, tax forms and pension statements
- Tracking annual changes such as vacation allotments and salary adjustments
2. Employee Management:
- Onboard new employees and conduct orientation, completing forms and maintaining employee files
- Processing terminations, leaves of absence and other personnel changes
- Prepare and amend ROE’s
- Coordinating with Managers, employee and WSIB/MOL regarding workplace injuries
- Responding to various employee related matters including disciplinary action as required
- Answering employee questions about Payroll matters, Benefits and various company policies
3. Regulatory Filings and Other Duties:
- Submitting annual EHT remittances for Ontario and B.C. locations
- Regular reporting to Workers Compensation Boards for Ontario, Quebec and B.C.
- Submitting annual returns for all Workers Compensation Boards for each province
- Coordinating all required filings to WSIB
- Key member of the Health & Safety Committee
- Ensuring compliance with all Workplace Safety and Accessibility requirements
- Liaise with external parties for annual building safety inspection
- Assist with organizing annual building inspections of the fire alarm and sprinkler systems
- Create, maintain and update Health & Safety and other operating procedures and manuals
- Other duties as assigned
QUALIFICATIONS
- Prior experience with payroll administration (2+ years)
- PCP certification would be an asset
- Experience working with ADP Workforce is an asset
- Familiarity with Ontario Employment Standards compliance (ESA)
- Prior experience with employee onboarding and terminations and handling all related documentation with the Ministry of Labour and other regulatory bodies
- Ability to maintain confidentiality and discretion with regards to sensitive and confidential data
- Excellent verbal and written communication skills
- Ability to stay organized and handle multiple requests from various people
- Possess a positive attitude and willing to learn new tasks and help others as required
- Confident in dealing with various parties including employees, vendors, managers and regulators
- Assertive, confident, congenial, trustworthy, dependable, attentive to detail
