Job Title: HR Administrator
Location: Toronto Plant (Scarborough)
Reports To: HR Lead
Role Overview
The HR Administrator supports both administrative operations and human resources functions at the Toronto Plant. Acting as a primary point of contact for employees and plant leadership, this role ensures HR processes run efficiently and that initiatives are implemented smoothly.
Key Responsibilities
Administrative Coordination
  • Act as the main point of contact for administrative tasks, including scheduling meetings, ordering supplies, coordinating internal moves, and managing facility bookings.
  • Maintain and update plant communication tools, including distribution lists, organizational charts, and weekly newsletters.
  • Oversee budgets for administrative expenses such as office supplies and plant events.
  • Keep physical and electronic filing systems organized and up to date.
  • Handle travel arrangements, prepare invitation letters, and coordinate group activities.
  • Produce regular reports such as headcount, payroll, and overtime summaries.
  • Organize employee engagement events, including holiday celebrations and service award ceremonies.
  • Lead community outreach efforts, including campaigns such as United Way.
  • Perform other administrative duties as required.
HR Support & Process Management
  • Assist with core HR processes, including hourly hiring, onboarding, wage adjustments, and employee transitions in HRIS systems.
  • Serve as the first point of contact for HR-related questions on policies, benefits, payroll, and employee resources.
  • Respond to inquiries regarding allowances (e.g., tools, shoes, wellness).
  • Process payroll and manage new hires, terminations, and job changes, ensuring compliance and audit readiness.
  • Track employee attendance and vacation accurately.
  • Generate HR reports through HRIS and other business systems.
  • Coordinate interviews and maintain job postings in the Talent Delivery System.
  • Manage training records in the Learning Management System and organize local training sessions.
  • Lead wellness initiatives and organize related plant events.
  • Support Talent Center activities and corporate HR projects as needed.
Qualifications
Minimum Requirements
  • College diploma in business or a related field.
  • Minimum of 4 years of administrative experience, with at least 2 years in HR or a manufacturing environment.
  • Familiarity with HRIS and payroll/timekeeping systems (PeopleSoft and Kronos preferred).
Skills & Experience
  • Strong interpersonal and communication skills; ability to work independently in a fast-paced environment.
  • Experience handling confidential information with discretion and professionalism.
  • Excellent organizational and multitasking abilities, with attention to detail.
  • Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
  • Ability to build effective working relationships across all levels of the organization.
