Sales & Commercial Support Coordinator
The Sales & Commercial Support Coordinator plays a key role in enabling our dynamic sales team to stay focused on high-impact selling activities. This position combines administrative, organizational, and customer-facing responsibilities, ensuring seamless communication, accurate documentation, and strong internal coordination. From managing spec sheets and broker updates to travel bookings and meeting prep, you’ll be the backbone of our commercial operations — keeping timelines tight, details precise, and customers impressed.

Shift: Monday- Friday 9am-5pm

Sales & Administrative Support

Complete product listing forms, specification sheets, and setup documents for customers.

Organize and maintain sales documentation on the shared drive.

Track deliverables and deadlines from internal sales meetings and customer submissions.

Respond to basic customer inquiries via phone or email, and route complex issues to the appropriate internal contacts.

Assist with customer and product data entry in the ERP system.

Assemble and ship professional, brand-aligned product samples in a timely manner.
Broker & Customer Communication

Prepare and send reports, updates, and reminders to brokers and customers.

Communicate directly with customers (in English and French) for status updates, documentation, and logistics.

Draft and send professional correspondence on behalf of the sales team.

Ensure clear, courteous, and detail-oriented communication in all interactions.
Cross-Department Coordination

Collaborate with R&D, Production, Logistics, and QA to fulfill sample requests and gather documentation.

Manage customer follow-ups — either completing them directly or coordinating with internal teams.

Ensure effective cross-functional collaboration to meet customer expectations and deadlines.
Travel & Event Support

Prepare materials and samples for trade shows and sales trips.

Book travel and coordinate logistics for the sales team.
Office & Meeting Hospitality

Welcome guests and ensure the conference room is prepared for meetings.

Set up our products, refreshments, and materials to create a professional meeting environment.

Order lunches or refreshments as needed for on-site meetings.
Ideal Candidate Profile
-
Fluent in English and French, both written and spoken.

2–4 years of experience in sales support, customer service, or coordination, ideally in CPG, retail, or food industries.

Highly organized and reliable, with a strong track record of meeting deadlines and managing details.

Experience supporting sales or customer-facing teams in a back-office or coordination role is a strong asset.

A clear, proactive communicator who is professional and personable.

Tech-savvy — comfortable using spreadsheets, shared drives, and eager to learn new tools (CRM/ERP experience is a plus).
