Project Coordinator – Architectural Glass & Glazing
Overview:
A well-established glazing and building envelope company is seeking a Project Coordinator to support its project management and design teams. The Project Coordinator will assist with technical documentation, procurement, scheduling, and coordination of materials and resources for glazing and aluminum fabrication projects. This position plays a key role in ensuring projects are delivered on time, within scope, and in accordance with client and contractor requirements.

The Project Coordinator will assist with technical documentation, procurement, scheduling, and coordination of materials and resources for glazing and aluminum fabrication projects. This position plays a key role in ensuring projects are delivered on time, within scope, and in accordance with client and contractor requirements.
Duties & Responsibilities
Technical & Design Support:
- Assist the Project Manager (PM) and Design Engineer (DE) in the preparation and review of shop drawings.
- Review drawings to ensure materials (e.g., aluminum, glass) are ordered in advance of required dates to meet contractor schedules.
- Coordinate orders for long-lead and specialty items such as vents, doors, custom extrusions, and glass.
- Support coordination of miscellaneous materials from inventory, including screws, anchors, and other installation components.
- Verify materials lists provided by the Design Engineer and ensure orders are approved by the Project Manager.
Submittals & Documentation:
- Prepare and manage submittal packages for drawings and samples using project management software (e.g., Sage).
- Track submission and approval timelines to ensure timely responses from engineers, consultants, and contractors.
- Coordinate material samples (glass, aluminum) with suppliers as per project specifications.
- Compile documentation for LEED compliance, Quality Control, engineering reports, and adhesion tests in collaboration with the Project Manager.
Procurement & Fabrication Coordination:
- Review fabrication drawings with the Project Manager to confirm all materials are accurately detailed.
- Prepare cutting lists and supplier purchase orders based on approved quantities, specifications, and pricing.
- Ensure all purchase orders are reviewed and approved by management prior to submission.
- Issue internal work orders for shop-cut materials and coordinate with the Production Manager to track completion.
Scheduling & Meetings:
- Attend weekly production and departmental meetings with the Project Manager, Production Manager, and General Manager to review project priorities, fabrication times, and lead times.
- Update and maintain project schedules in Microsoft Project in coordination with the Project Manager.
- Develop detailed glazing schedules covering measurement, ordering, fabrication, and installation timelines for integration into the master schedule.
Logistics & Site Coordination:
- Arrange machine and equipment rentals for site use per PM instruction, ensuring timely delivery and return to minimize costs.
- Monitor and track material deliveries, maintaining accurate records of ordered, required, and delivered dates.
- Follow up with suppliers and contractors to confirm pricing, lead times, and order status.
- Attend site meetings or visits as directed, documenting progress, issues, and photographic records.
Change Management & Quality Control:
- Assist with processing change orders, RFIs, requests for extras, site instructions, and prime contract changes.
- Maintain detailed records of all project changes and correspondence within the project management system.
- Support the Project Manager in tracking and resolving deficiencies identified by contractors or consultants.
- Complete and maintain Quality Control forms to ensure installation compliance with project specifications.
- Track purchase orders and billings on a monthly basis for project reporting purposes.
Qualifications:
- Experience in project coordination within the glazing, curtain wall, or construction industry preferred.
- Strong organizational and documentation skills with proficiency in Microsoft Office and project management software (e.g., Sage, MS Project).
- Ability to interpret technical drawings and specifications.
- Strong communication and problem-solving skills.
- Detail-oriented and able to manage multiple priorities in a fast-paced environment.
- Valid driver’s license and ability to attend job sites as required.
