Job Summary:

We are seeking a highly organized and detail-oriented Project Coordinator to join our client’s Capital Projects team, a leading Real Estate Management firm. The Project Coordinator will support the planning, execution, and delivery of capital improvement projects across our diverse real estate portfolio. This role will involve working closely with project managers, contractors, vendors, and internal teams to ensure that projects are completed on time, within budget, and to the highest quality standards.

Key Responsibilities:

  • Project Coordination:
    • Assist in the development of project schedules, timelines, and budgets.
    • Coordinate with contractors, vendors, and internal teams to ensure that project milestones are met.
    • Help organize project meetings, prepare meeting agendas, and document meeting minutes.
    • Track project progress, identifying potential issues and ensuring timely resolution.
  • Documentation & Reporting:
    • Prepare and maintain comprehensive project documentation, including contracts, change orders, and project plans.
    • Assist in creating and maintaining regular status reports and project updates for stakeholders.
    • Ensure all project documentation is accurate and in compliance with company standards.
  • Budget & Cost Management:
    • Monitor project expenses and assist in managing the project budget.
    • Assist with the procurement of goods and services, ensuring the best value and compliance with company policies.
    • Help review invoices and support the approval process to ensure accurate billing.
  • Communication:
    • Serve as a liaison between internal departments, external vendors, contractors, and clients.
    • Facilitate communication between project teams to ensure alignment on project objectives and timelines.
    • Address inquiries or concerns from stakeholders regarding project status and progress.
  • Risk Management:
    • Assist in identifying potential risks to the project and collaborate with the project manager to develop mitigation strategies.
    • Track project issues and escalate as necessary to ensure prompt resolution.
  • Compliance & Safety:
    • Ensure all projects comply with relevant building codes, safety regulations, and company policies.
    • Monitor safety procedures and protocols on project sites to ensure a safe working environment.

Qualifications:

  • Education: Bachelor’s degree in Construction Management, Architecture, Engineering, or related field is preferred.
  • Experience: 2+ years of experience in project coordination or construction management, preferably in a real estate or capital projects environment.
    • Skills & Abilities: Strong organizational skills and attention to detail.
    • Excellent verbal and written communication skills.
    • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), project management software (e.g., Procore, Buildertrend, or similar), and basic knowledge of construction management tools.
    • Familiarity with real estate, construction processes, and building codes is a plus.
    • Additional Qualities: Ability to work both independently and collaboratively with a team.
    • Strong problem-solving skills and a proactive approach to challenges.
    • Positive attitude and a strong desire to contribute to the success of capital projects.

Working Conditions:

  • This position may require occasional travel to project sites, depending on the scope and location of the projects.
  • Flexibility to work outside of standard business hours may be required to accommodate project deadlines or urgent issues.
