The Service Administrator will play a key role in coordinating service requests, managing customer inquiries, and handling administrative tasks to ensure smooth service delivery and client satisfaction. Key responsibilities include supporting both service & parts departments, processing paperwork, processing payments and billing, and serving as a point of contact between clients and service/parts teams.

What are the Responsibilities?
- Act as the primary point of contact for clients, answering inquiries, and resolving complaints.
- Schedule service appointments and coordinate with service teams to ensure timely completion of work orders.
- Process and maintain paperwork, including work orders, invoices, and billing records.
- Perform general office duties such as answering phones, greeting visitors, and data entry.
- Manage schedules/coordinate meetings.
- Process payments and complete financial transactions.
- Assist with light bookkeeping and generate billing for completed services.
- Help with purchase orders and logistics for parts and supplies.
What are the Requirements?
- Service Admin/Service Coordinator experience within a relevant industry (industrial, heavy equipment, mechanical/electrical/HVAC contracting, or similar ideal)
- Strong organizational and time management skills
- Excellent communication, interpersonal, and customer service abilities
- Must be computer savvy
- Ability to multitask and adapt to changing priorities, willingness to help out where needed
