Maintenance Services Coordinator
We’re looking for a detail-oriented and highly organized Maintenance Services Coordinator to play a key role in ensuring smooth operations within our maintenance department. This position is primarily administrative, focusing on creating and managing work orders, coordinating service schedules, and ensuring deadlines and warranties are consistently tracked and met. Key Responsibilities:
- Work Order Management: Create, update, and track service work orders, ensuring all tasks are accurately documented and completed promptly.
- Scheduling Coordination: Prioritize and schedule maintenance and service visits, coordinating with technicians and clients to ensure efficient workflows and minimal disruptions.
- Deadline Oversight: Monitor and manage key deadlines, including maintenance timelines, warranty expirations, contract renewals, and project milestones.
- Warranty and Contract Tracking: Organize and maintain records for warranties and maintenance contracts, ensuring all documentation is easily accessible and up-to-date.
- Client Communication: Serve as the point of contact for customer inquiries, providing updates on service schedules and responding to questions or concerns promptly.
- Calendar Management: Maintain an internal calendar to track proposals, site visits, preventative maintenance schedules, and team availability.
- Reporting and Follow-Up: Review and file maintenance reports, flagging any issues for escalation to the appropriate team member, such as the Estimator or Service Manager.
- Software Administration: Manage the Jonas e-Mobile platform and dispatch board, ensuring accurate and current information for all ongoing and completed tasks.
- Collaboration: Work with the finance team to ensure completed jobs are flagged for invoicing, ensuring seamless hand-offs between departments.
What You Bring:
- Exceptional organizational skills with a keen ability to manage multiple tasks and deadlines.
- Strong written and verbal communication abilities for interacting with clients and internal teams.
- Proficiency in administrative tools and scheduling software; experience with Jonas Dispatch Board or similar platforms is an asset.
- A proactive approach to problem-solving and attention to detail.
- Previous experience in an administrative or coordination role, ideally within a maintenance, service, or scheduling-focused environment.
