As a Warranty Specialist, you will play a critical role in managing warranty claims and ensuring that customers receive prompt and accurate resolutions. Your responsibilities encompass a range of tasks designed to facilitate efficient processing and authorization of warranty claims.
Responsibilities:
Warranty Claim Processing:
- Verify manufacturer/vendor criteria provided by customers and accurately input this information into the respective vendor databases.
- Complete all necessary documentation for processing claims using software like AS400/Syntax, including generating credits and debits.
- Confirm that the claimed amounts align with the manufacturer/vendor criteria to avoid discrepancies.
- Conduct follow-up on claims to secure swift approvals and maintain a timely resolution process.
- Analyze claims that have been denied by the manufacturer/vendor and, if applicable, resubmit them promptly or obtain authorization for cancellation.
- Collaborate closely with accounts payable by providing essential documentation required for processing warranty credits.
- Ensure the return of defective parts to the manufacturer/supplier when requested, with assistance from our branch offices.
- Maintain effective communication and collaboration within the warranty claim team to streamline the entire process.
To excel in this role, the following skills and experience are essential:
- Proficiency in Microsoft Office, particularly Excel, for data analysis and documentation.
- Strong written communication skills to facilitate clear and concise correspondence with manufacturers, vendors, and customers.
- Experience with AS400/Syntax software for processing warranty claims.
- Proficiency in data entry across various platforms, ensuring accurate and consistent information management.
- Exceptional organizational skills to manage multiple warranty claims simultaneously.
- Ability to multitask effectively in a fast-paced environment, prioritizing tasks to meet deadlines and customer expectations.
- As a Warranty Specialist, your attention to detail, excellent communication abilities, and technical proficiency will contribute to a seamless warranty claims process, ultimately ensuring customer satisfaction and upholding the manufacturer/vendor criteria.
