Your tasks as a Scheduler:

  • Provide Fast, Friendly and Professional customer service to both internal and external customers
  • Communicate with field technicians and other departments via email, text message and phone across 3 sites
  • Answer incoming calls, emails, and text messages to close out-calls for field technicians
  • Maintain scheduled calls on Workforce Management System making sure that all out-calls are scheduled on the appropriate technician and update customers as needed of technicians ETA
  • Make outbound calls to schedule, confirm, and survey upcoming or completed appointments
  • Manage customer concerns regarding schedule and work to resolve them efficiently and effectively
  • Maintain optimum load by leveling resources b/w Field Support, Phone Bank & Warranty and Parts
  • Use tools to monitor working hours, plans and expenditures
  • Verify, process and submit expense reports to manager for approval
  • Create and review dashboards and operations KPIs with managers
  • Plan, schedule and track timelines for various project workloads
  • Coordinate project management activities, resources, equipment and information
  • Liaise with internal and external customers to identify and define project requirements, scope and objectives
  • Break projects into doable actions and set time frames
  • Act as the point of contact and communicate project status to all participants
  • Gather and analyze project data to report to the Master Scheduler, and work with the Master Scheduler to eliminate blockers
  • Analyze risks and opportunities
  • Create and maintain comprehensive project documentation, plans and reports
  • Develop and maintain RAID log and lessons learned report for continuous improvement
  • Establish, facilitate and maintain effective working relationships with stakeholders on the jobsite (end user, engineers, installing contractors, etc.)

The required qualifications for the Scheduler position:

  • Any Engineering Diploma
  • Intermediate knowledge of concepts, practices, and procedures related to the manufacturing industry
  • 2 years of experience in a customer service, project management and or dispatcher environment
  • At least 2 years of experience in Project Management, with emphasis on Schedule Management and Project Coordination
  • Knowledge in the logistics of scheduling and coordination of material and labor
  • Ability to travel between US / Canada (up to 10 business days / year between US & Canada
  • Ability and willingness to learn and develop new skills, processes, and concepts as well as develop these skills in the team
  • Skilled in managing multiple priorities at same time without being overwhelmed
  • Can promote innovative problem-solving and present feasible alternatives in the face of obstacles
  • High proficiency of computer applications: Microsoft Office, Internet, and any ERP program
  • Excellent communication skills – both written, verbal
