Reporting to the VP Shared services Global Payroll Leader will be responsible for leading and managing a Global payroll operation and provide oversight of a team of Payroll staff responsible for the semi-monthly and hourly payrolls of 7,000 employees. This role will be accountable for implementing and maintaining efficient payroll processes and best practices and ensuring compliance with federal, provincial and state regulations. This role will also play an important role in assisting with month end processing, year-end audits and all ongoing aspects of Payroll accounting and the related regulatory reporting.

Key Accountabilities:

Payroll Management

·Oversee and manage payroll delivery process so that it is optimal, harmonized, in accordance with internal and external practices and processes, and meets the highest quality standards

·Co-ordinate the effective and timely preparation of all payrolls (Canada, India, Australia, UK, India, Netherlands and US) which includes the proper administration and calculation of all deductions

·Oversee and coordinate year-end functions such as US W-2 and CDA T-4 filings returns and issuance of T2200 and all other countries

·Actively participate in the development and implementation of the integration plan for acquisitions of businesses and ensure a seamless transition

·Communicate with regulatory / statistical agencies / department as needed; work closely with internal and external suppliers advisors, as needed, to solve complex problems related to payroll and/or systems issues

·Work with stakeholders in Human Resources and Finance to ensure that the level of service is satisfactory

·Lead or actively participate in special projects for all payroll operations; project manage implementation of all payroll system integrations

·Act as payroll subject matter expect for the organization and point of contact for all payroll related escalations

·Maintains employee confidence and protects payroll operations by keeping information confidential

Compliance and Accounting Reporting

·Ensure compliance with federal, provincial and state legislative acts, remittance deadlines, internal policy and all collective agreements

·Ensure payroll related accruals are reconciled, in coordination with the corporate Finance team

·Ensure all legislative requirements regarding tax withholding, remittance and income reporting have been met

·Maintain processes and provide guidance to ensure consistent and robust compliance with applicable federal, provincial or state legislation, depending on the jurisdiction

·Establish/revise controls, monitor compliance and coordinate annual testing and reporting in collaboration with auditors

·Document and maintain all processes and controls in support of regulatory requirements

Leadership & Payroll Effectiveness

·Provides leadership and management to a team of four Payroll Specialists to ensure timely, accurate completion of payroll processing, funding, and payments in all geographies including Canada and the US

·Builds the professional capacity of the team through effective mentoring, coaching, goal setting and ongoing performance management and evaluation

·Establish appropriate SLAs as well as client service and productivity metrics

·Research payroll related legislation, regulation and policy with external agencies

·Understand interdependencies and supporting integrations between HR, Tax, Legal and Accounting and maintain communication and strong relationships with key stakeholder

·Develop, implement and maintain policies and processes to ensure a high standard of accuracy, efficiency and effectiveness in preparing, controlling and recording the pay cycles

·Benchmark current practices and evaluate current systems; develop operating efficiency improvements; recommend leading edge processes, tools, and capabilities to enhance accuracy and efficiency

Education and Experience

·Completion of a Bachelor’s degree in accounting, business administration, or a related field

·Certification from the Canada Payroll Association preferred

·5-8 years payroll experience in managing multiple payrolls, in Canada and US

·Strong analytical, detail-oriented, and accuracy skills; synthesize complex information; collect and research data; design work flows and procedures

·Proactively drive process and quality improvement

·Identify and resolve problems in a timely manner

·Speak clearly and persuasively; listen and seek clarification

·Write clearly and informatively; present numerical data effectively

·Delegate work appropriately; set expectations and monitor delegated activities

·Experience with ADP online tools required (i.e. [email protected], Autopay, GLI)

·Experience with Workday an asset

·Previous experience implementing new software products an asset

·Strong Microsoft Office skills with advanced Excel skills
