Job Title: Executive Assistant

Our client is a dynamic and thriving nonprofit organization based in Toronto, dedicated to a great cause. With a passionate team and a commitment to making a positive impact, we are seeking a highly skilled and organized Executive Assistant to support our leadership team in achieving our mission

Position Overview:

The Executive Assistant will play a crucial role in facilitating the smooth operation of the organization by providing high-level administrative support to our Executive Director and senior leadership team. This position requires a proactive and detail-oriented professional who can manage a variety of tasks efficiently, maintain confidentiality, and contribute to the overall success of the organization.


1. Administrative Support:

– Manage the executive’s calendar, scheduling appointments, meetings, and travel arrangements.

– Prepare and organize documents, reports, and presentations for internal and external meetings.

– Handle correspondence, emails, and phone calls, ensuring timely and appropriate responses.

2. Meeting Coordination:

– Coordinate and prepare materials for board meetings, committee meetings, and other important gatherings.

– Attend meetings, take minutes, and distribute meeting summaries to relevant parties.

3. Communication Liaison:

– Act as a liaison between the executive and internal/external stakeholders, maintaining positive relationships.

– Draft and edit communications on behalf of the executive, including emails, memos, and reports.

4. Project Assistance:

– Assist in the planning and execution of special projects and events.

– Collaborate with other team members to ensure projects are completed in a timely and efficient manner.

5. Data Management:

– Maintain and organize electronic and physical files, ensuring accurate and secure record-keeping.

– Handle confidential information with discretion and professionalism.

6. Requirements:

– Proven experience as an executive assistant or in a similar role.

– Exceptional organizational and multitasking abilities.

– Strong written and verbal communication skills.

– Proficiency in Microsoft Office Suite and other relevant software.

– Ability to work independently and collaboratively in a fast-paced environment.

– Minimum of 3 of experience in an executive assistant or administrative role.

– Bachelor’s degree in business administration or a related field is preferred.
