We are currently searching for a Bilingual Advocacy Administrative and Research Assistant to be part of our clients’ team of experts specializing in the Administrative and accounting industry. 50% of the assistants’ tasks will involve Administrative support, 25% will involve Event/Program Support (Councils), the other 25% will involve research, and the last 25% will involve Analysis.

Your tasks as a Bilingual Advocacy Administrative and Research Assistant:

  • Support and assist the Director and other Advocacy staff, including Advisor, Advocacy and Legislative Content, as well as the management of the CPA’s advocacy initiatives inventory and progress of action
  • Contribute to, proofreads, and format position papers, government submissions, press releases, annual reports, internal website, social media content, etc.
  • Maintain the database of Subject Matter Expert contacts
  • Exchange information with members of the various councils/committees/task forces, government and business contacts, and others
  • Contribute to the development of the different department budgets
  • Provide general office administrative support (e.g., records maintenance/management, handling personal email, coordinating outgoing courier, printing, etc.)
  • Prepare and distribute meeting materials
  • Be responsible for all logistical planning for Advocacy council/committee meetings and workshops
  • Act as administrative support for council/committee and task force meetings, including communication with all participants regarding travel and accommodation arrangements and expense reimbursement
  • Process incoming invoices related to council/committee meetings – code invoices to expense accounts, ensure appropriate authorizations are received and invoices are forwarded to accounting for processing
  • Conducts initial research and assist with environmental scans and initial analysis of payroll related legislation, policies and trends, including global payroll policies and practices
  • Conduct the preliminary analysis of internal and external survey research data to assist in identification of advocacy opportunities
  • Analyze Infoline metrics to identify areas of key concern
  • Attend 4 Council meetings per year in Ottawa (travel required)
  • Attend 4 Council meetings per year in Quebec City (possible travel)
  • Other Council meetings and Task Force workshops meetings in Ontario and other jurisdictions as required

The required qualifications for the Bilingual Advocacy Administrative and Research Assistant position:

  • Have a Post-secondary education – University degree or College diploma in Political Science/Public relations or business is preferred
  • Have a minimum of 3 years of related experience in an Administrative Assistant role, including minute-taking
  • Have experience with conducting research
  • Must have experience with payroll software and systems is an asset
  • Bilingual with strong written and oral skills in English and French
  • Be business proficient in French, in both written and spoken
  • Have advanced knowledge of Microsoft Software
  • Have extraordinary customer service skills, be responsive, flexible and effective in dealing with customers
  • Have strong interpersonal and communication skills
  • Be an effective team leader that can contribute valuable ideas and feedback
  • Have the ability to communicate with various levels of stakeholders from senior decision makers to administrative personnel
  • Have the ability to track down relevant legislation and conduct initial searches
