Responsibilities:

  • Data collection and preparation of weekly, monthly, and annual reporting to internal and external clients
  • MTO bi-weekly reporting (sand/salt/DLA usage & deliveries/non-hwy usage)
  • Collect/review/enter bare pavement data sheets
  • Process requests for historical file items from MTO & internal clients
  • Develop forms and processes as required to meet Company needs
  • Reconcile patrol and emergency response unit diaries; reconcile patrol diaries to winter operation records and bare pavement data sheets
  • Monitor, coordinate and schedule fleet maintenance and repairs (i.e. create and update work orders for repairs to all equipment, create requisitions for outsourced work and parts orders, enter Mechanic’s work orders and enter hours charged, upload and file documents associated with work orders
  • Maintain vehicle files, monitor timing of CVOR certificate renewal, insurance, and registration
  • General recordkeeping and filing
  • Organize and file all documents pertaining to vehicles by vehicle number and date
  • All things GPS – act as liaison when issues occur with the WebTec program or devices, coordinate required outsourced repairs with Web Tec, transition equipment and devices from summer to winter equipment, manage users and resources (devices, equipment, and employees used on winter operation records)
  • Initiate procurement and purchasing process using JD Edwards
  • Coordinate and assist in payroll processing – accounting support
  • Document management and control
  • Assemble, monitor and process claims
  • Assist with asset management, inspection reporting and data collection
  • Clerical and administrative duties as necessary
  • Responsible for maintenance of records and coordination of a response for verbal (e.g. telephone) and written (mail, email) communications with public and stakeholders
  • Other duties as assigned
  • All Ad Hoc requests from the CFO and CEO

Job Requirements

  • Knowledge of general highway maintenance – litter removal, fence repair, landscaping, road surface repairs, winter maintenance operations.
  • Experience using computers and software – Adobe Acrobat, MS Office, database software
  • Ability to work independently and produce quality work product
  • Excellent oral and written communication skills
  • Team player
  • Excellent attendance and punctuality
  • Ability to lift a maximum of 50 lbs. (Usually no lifting is involved )
  • 3 to 5 years relevant similar experience
