Our client in Vancouver BC is looking for a dynamic Senior Project Coordinator / Assistant Project Manager reporting to the Director of Operations (Western Canada).

Duties Include but not listed to:

Condo Closing Project Management

  • Purchaser Walk through / Pre-delivery Inspection
    • Set up purchaser walkthrough process with goals to minimum deficiency and achieve high home owner satisfaction
    • Manage the purchaser walkthrough process to ensure all PDIs are well performed and completed prior to Occupancy
    • Work with marketing company to provide notices and communicate with purchasers to obtain necessary information prior to closing
    • Set up and manage the process of ongoing deficiency tracking, reporting, and repairing pre-delivery and post delivery
    • Identify recurring warranty items, investigate and eliminate or reduce where possible
  • Title Creation / Conveyance:
    • Coordinate with Development team and Legal to clean up title, covenants, and easements, prior to title creation
    • Coordinate with Development team, property manager, and legal to file final DS amendment
    • Manage unsold parking / locker lease and ongoing maintenance process
    • Coordinate with marketing company and legal on pre-strata creation preparation (collect purchasers’ legal representatives, prepare information package, prepare strata formation documents, send out notices to purchasers, etc)
    • Liaise with Development and property management on strata corporation formation and related items (strata insurance, utility set up, etc)
    • Liaise with Finance and Legal on unit conveyance process
  • Occupancy / Suite Handover:
    • Setting up and enforcing the Customer Care standards in relation to processes for consistency, including procedures for processing routine, emergency, and out-of-warranty items
    • Prepare hand over package (homeowner’s manual, warranty form, strata management package, utilities info, welcome present, unit/parking/locker info, amenity guides, etc)
    • Manage purchaser orientation appointment and key handover process
    • Manage post delivery warranty and repair process
    • Maintain ongoing communication with property management on warranty items and purchaser advocacy issues
    • Track and update all pertinent information in the data room

General Project Management

  • Attend project meetings and coordinate with internal team members to ensure projects are well conceived in order to meet schedule and budget
  • Manage the scheduling and coordination of re-occurring on site meetings as needed
  • Support review of project proformas and cashflow forecasts, including liaising with Finance as required
  • Liaise with other 3rd parties as needed
  • Prepare project reporting for internal / external meetings as needed
  • Keep up with applicable regulatory updates within the industry
  • Assist in ad-hoc activities as needed
