Reporting directly to the CEO, this impactful role of the Sr. Project Manager, Amazon Operations is responsible for ensuring the execution of critical strategic initiatives and business process improvements within the Amazon team. This role will lead the day to day operations of the Amazon team including building and executing upon project timelines, providing task management and follow-up, and to ensure that cross-functional team hand-offs are smooth and seamless. This role is hyper focused on the development and execution of best practices and processes and will be working closely with all levels of the organization from associates to the sr. leadership team

. Responsibilities Project Management

● Day to day project management and coordination of new and existing projects and initiatives

● Outline risks and mitigation strategies to keep projects on track

k ● Ensure strategy files are communicated and executed upon

● Work closely with cross-functional team members for hand-offs

● Review projects and tasks to identify bandwidth availability and prioritize workloads accordingly

● Identify upcoming product launches and updates to pre-plan execution and timelines

Work closely with Project Coordinators/ Managers, Designers, and Amazon or Marketing Team to communicate objectives, Supply Chain and Finance

● Identify task durations and dependencies to ensure tasks are completed and prioritized in a logical sequence

● Work closely with Department Heads to ensure ongoing success and that team captains are established to maintain operations

● Review system/subscription resources to determine if teams have the appropriate packages enabled and tools to complete the tasks ● Ensure all Change controls are executed on

● Liaise with other teams such as regulatory to ensure our listings are compliant before publishing, supply chain to communicate inventory decisions made such as excess, expiring, shorting, etc.

● Coordinate with other teams for sign offs and updates as necessary to ensure smooth operations at Viva. Reporting & Communication

● Be an active and support team member in the expansion of data visualization tools such as Microsoft Power BI, Tableau, etc

● Establish strong partnerships with key stakeholders groups (e.g. Commercialization, Supply Chain, Finance, and Development Team) to gather new requests and prioritize accordingly

● Create and maintain dashboards to track ongoing performance and alert to any issues, such as activities not performed or meeting expectations

● Ensure all recurring procedures have a signed-off SOP

● Confirm team captains are in place and QA work per outlined business cycle

● Explore new ways to improve business communication and have information readily available Compile daily & weekly meeting notes into actionable game plans

● Develop, refine, and maintain project and maintenance task tracker for enterprise visibility

● Assist in the development, refinement, and maintenance of dashboards and reporting tools

● Project updates and cadence schedule established

● Meetings scheduled and held to drive visibility

● Track & log project issues and host post-mortem meetings to increase communication and strengthen future projects ●

Communicate project variance from expected vs. actual start

● Maintain Product Information Management system to ensure all product information is successfully captured and centralized for the organization during the product launch process

● Ensure project documentation is organized and maintained in a central location Process Management & Improvement

● Play a key role in ensuring stakeholders feel comfortable incorporating new processes, procedures, solutions into the business operations

● Catalog all Amazon operational activities to ensure ongoing Amazon success

● Present recommendations and solutions to management including analysis of business processes, development of hypothesis, synthesized findings, and opportunities for improvement

● Assess current Finance & Supply Chain processes to identify internal control weakness within the Amazon environment and opportunities to improve process efficiencies

● Partnership with cross-functional teams to review new requests, post-mortem results, and internal / external business communications to adapt and implement future project changes

● Adjust + adapt processes as changes occur during project

s ● Conduct root cause analysis when problems/errors arise and implement corrective procedures Requirements

● 8+ years of relevant process and project management experience

● Proactive and results-oriented with strong organizational and interpersonal skills which engage, motivate, and inspire team members to achieve results

● Computer Savvy with the ability to work on Google Suite, Microsoft, or other Cloud Based Solutions and programs ie. Asana, Tableau, Airtable, Smartsheet etc. as required

● Demonstrate a comprehensive understanding of eCommerce Business Processes

● Resource and project management and scheduling skills

● Ability to multitask, prioritize, problem solve and to work within deadlines
